Saphir Piano Studios
Attendance Tracking and Daily Financial Oversight

As Harrogate’s premier piano school, Saphir Piano Studios maintains a 90-strong teaching practice focused on piano and flute tuition. The studio also has a regular stream of professional engagements, including instrumental accompaniments, exam adjudication, and the owners’ own active concert careers.
Operating at this scale requires a significant amount of coordination. Artopian provides the ongoing support needed to manage these diverse commitments and keep the studio’s day-to-day administration running smoothly.
A key development was Artopian’s design of a custom attendance tracking system, tailored to how the studio works. By bringing clear structure to attendance data, the system has transformed how invoices are calculated and prepared. What used to be a time-consuming administrative task is now a streamlined part of the month, speeding up the billing process while ensuring every lesson is accounted for.
Alongside this, Artopian performs daily payment monitoring and bookkeeping, using our internal tools to keep pace with the studio’s overlapping billing cycles. We track incoming activity across every strand of the business, from recurring tuition to one-off professional fees. This consistent, daily attention ensures that despite the varied schedules, the studio’s financial records are always accurate and up to date.

Improving Financial Operations Across Multiple Sites

Schools carry a huge administrative burden around purchasing, invoicing and supplier payments. From September 2024 to March 2025, Artopian collaborated with an academy trust based in Yorkshire that managed 15 schools (2 secondary and 13 primary).
After working closely with their CFO and finance team, we designed and built tailor-made software that improved how invoices were approved and processed, reducing manual handling and making finance operations more efficient. Across their finance team, this software was estimated to save around 70 hours per month, which could be reinvested into higher-value tasks such as financial forecasting and budgeting rather than paperwork.
The work also highlighted future opportunities, including potential integration between IMP and Sage Intacct, an “Item Book” for spending insight, and the use of Open Banking to support bank reconciliation.
The project concluded after the demonstration of a working prototype. Rolling it out across the schools would form a separate phase, which the trust may choose to pursue in a future financial year. This collaboration gave us firsthand insight into how school groups run and how well-designed systems can make daily work easier.
